โฐ Improved Waitlist

This will replace the old way of adding a $0 Waitlist package. Woohoo! 

When enabled on a trip YouLi will automatically offer a "JOIN WAITLIST" button to travelers who are over the Max people on the Trip or over the max inventory on a Package.

People with a status of "Waitlisted" will not get reminders and will not see Tasks.

Early Adopters will be able to try out our new Waitlisted feature

๐Ÿ’ช New Styles in Manage Highlights & Itinerary

You'll see a new style of boxes on Manage Highlights & Itinerary main listing and when editing items you'll see some new heading styles and form field styles.

The Visibility control has moved closer to the top of the form, to make it clearer who can see the Item:

All the same features - just a bit easier to look at! Including a new heading to distinguish between "Standard" Items and "Enhanced".

โ„น๏ธ Quick access to your Tracking Sources

Tracking Source and Tracking Medium now show on TripCRM when you click to expand the row.

This is especially valuable when working with Affiliates to see who the booking came from without having to click into the TripBoard.

๐Ÿ”ง Set your Main Contact on Trip Creation

Now when you're creating a Trip, you can choose to set your Main Contact to someone other than the Team Owner (the default). This saves you from having to change it after creation and means it is passed via the Create Trip webhook for automations. 

Combine this with the ability to set a Traveler facing contact email (Account -> Team Member), so you can set the Main Contact to the right Team Member, but Travelers still communicate with your shared mailbox. The Main Contact is then shown on the List View of the Dashboard and can be filtered on both views to see only the Trips assigned to that Main Contact. Share the workload and keep track of who is responsible! 

If you have WLES configured, only email addresses matching your WLES domain will be shown (only Team Members in your company). If you need to select another Team Member, that can still be done from Manage Planners once the Trip has been created.

  • 10782 - FIXED: There was a bug that pulled only some of the fees from Stripe when there were multiple types of fees (i.e. merchant fees and fx fees) - this caused YouLi payment reporting to not match Stripe reporting.
    • Historical data will not be updated, pull fee data from Stripe if necessary for past payments
    • All payments via Stripe going forward will show the correct TOTAL fees.
    • Thanks to Solamore for reporting
  • 10712 - Default the Deposit amount to 1% with rounding of 500 to make it easier to create a fixed deposit of 500 while using with Percentage and Dynamic Installment plans. You can always adjust to something else like: 10% rounding to the nearest 5. Whatever gets you the nice round number you're looking for!

  • 10743 - Custom Roles no longer show that they can "EDIT" a Trip from Manage Planners - they now show as "CUSTOM ROLE".

  • 10686 - Trip Page will now show the Hidden package assigned to a registered Traveler when they view the Invoice - so they know which package they are booking onto.

๐Ÿ›๏ธ Room Level Inventory - Name your Rooms, not just your Packages

YouLi offers four ways to manage your Rooming List on a trip:

  1. Package Level Inventory - our standard method

  2. ๐Ÿ†• Room Level Inventory - add rooms per category and give each unique names with the ability to add room level notes. 
    1. This feature requires that you allocate people to the named rooms - otherwise they show as NO ROOM in the list. 
  3. Visual Deck Plan or Rooming Map - let your Travelers pick their room from a deck plan or rooming map
    1. Similar to Room Level inventory, but you don't have to allocate the rooms - they do it themselves!
  4. Per Accommodation - An advanced option when you need to allocate rooms per hotel or in unique combinations - and allow your Group Leaders to manage room allocations directly in the platform to avoid errors.

๐Ÿš Transfer Window - Enhanced Itinerary Item

If you publish a Transfer Window and then need to allocate people to transport based on when their flights arrive - you need the "Transfer Window" feature. 

These allocations are not visible to Travelers, so you can create whatever organization you need. Once done, lock it and Export it. 

Set whether it is Arrival or Departure and then link to special Flight fields in your forms, the flight data will appear (sorted by flight arrival/departure time) when you are allocating people and ensure:

  • Everyone is allocated to a Transfer

  • Flight data is included in the Export to share with Suppliers

๐Ÿ”ด Overbooking - enhancements

When a Trip allows overbooking, anyone who is booked beyond the Max for the Package or the Trip will be flagged. Those flags now appear on the TripCRM:

On Trip Summary, if there is an overbooked person, the circle will be flagged as red:

  • Overbooked over the Max on the Package - the Package circle will be red

Being able to book more than one room or Package type in the same Checkout has been on our Road Map for a year, and it's finally here! 

We are excited to be testing with sponsoring Enterprise clients to get their feedback as this is such a big change.

Be ready for General Availability later this year.

Changes in the release:

- Max occupancy for the package now shown in the "Allocate Room" popup (previously this showed the max for the reservation overall)

- VIEW INVOICE button has been changed to CONTINUE TO PAYMENT

- When managing the "Group Reservations" options, the labels now appear relevant to the Reservations feature.

When clicking the pencil to Edit the "Group Reservations" your options are:

  1. Max Number of People per Reservation via Checkout

    1. This can be up to 10
    2. Must be more than 1 to take advantage of full Reservations feature.
  2. Label for Number in Reservation
    1. Use your brand language for this, "Party Size", "Number in Booking", etc
  3. Label for Invitation Group Name (if shown)
    1. We do not encourage use of this feature at this time with Reservations
    2. Disable this from Account -> Site Settings
  4. Label for Members of the Reservation
    1. What do you call people on your trips? "Guest", "Traveler", "Member", etc
  5. Registration Instructions
    1. Provide clear guidance to help them complete their reservation
    2. Be sure to create test trips and run through the Checkout flow to see how best to guide your customers
      1. For example:

        Select the number of people you are booking for and then allocate them to the right room types below. Once the registration forms and room allocations are done, you can CONTINUE TO PAYMENT.

โœˆ๏ธ Integrated Flight Bookings (Sky) - enhancements

Building further on our Sponsored feature integrating with Sabre for flight bookings - Planners will now be able to see extensive data about the flight booking - not just the segment flight data, but also fare data, baggage, etc.

  1. Flight Bookings will now show at the top of the Itinerary under FLIGHTS for Planners, and at the top of the ALL view for Travelers.Screenshot 2026-01-28 at 3.25.49 pm

  3. Visibility has been moved to the top of the form to ensure the item is seen by the right people:

Why integrate flights? Because your Travelers can easily search and book flights from the Trip Page after booking and then see it appear on their itinerary - no extra forms required.
