New Features - Release 2.168 - Dec 21, 2023 - Canceled & Return Allocations

Release 2.168: Last update before 2024! Changes to travel plans mean cancelations and the need to return allocations from split payments made by one person. Learn more about these changes and more in our latest update.

Our default gateway is Stripe, but we are happily integrated with Square as well.
You can have accounts with both gateways at the same time, but only one can be connected to YouLi at the same time.* 

  • You can disconnect and then connect to alternative gateways (like Square)stripe-disconnect

  • The new connected gateway will be immediately available on all your existing trips for credit card payments
  • Manage Payments will show whether payments were made via Square or Stripe so you can reconcile. It can be a little messy, but can be worth it to ensure you can keep taking payments.

👥 Return Allocation - for Invitations groups that split up ↩️

Why do you need this feature? Here's an example scenario:

Sally and Hubert are booked together - Sally made the deposit payment of $1000 to cover both. But now Sally and Hubert are no longer together, and Sally wants to claim the full $1000 against HER invoice.

So you need to "Return Allocation" from Hubert's expanded row on Manage Payments. Just click the ACTIONS button and choose "Return Allocation". That sends the $500 allocation back to Sally and leaves Hubert owing his full balance.

You can then remove Hubert from the invitation group so he can pay on his own if he still wants to go (or delete or change him to declined).

🚫 Canceled Instead of Declined 😅

  • YouLi was designed to invite people who could register or decline the invitation to your event/retreat/tour. So the "Canceled" state has always been indicated as "Declined." 
  • NOW: When someone has made a payment, you will have the option to change their status to "Canceled" instead of "Declined."
  • "Declined" will remain when they are simply invited or registered with no payments.

COMING SOON: Ability for a canceled person to see their invoice on the Trip Page 

DID YOU KNOW?  You can always send canceled travelers a receipt from their TripBoard.

 

👉 Bookings vs. Booked 📋

Note that we are now counting anyone in an invitation group (paying together) where a payment has been successfully made as BOOKED even if they still owe money. This is because they are holding a spot that has been confirmed by the payment from another member of the group - and the assumption is that they simply need their remaining balance to be paid, but they are considered BOOKED even before they make any payment.

For example:

  • Chris books a room with a double bed and pays $500 deposit on a $3000 per person trip - so he owes $2,500.
  • He contacts the Planner and asks to add his traveling companion Sue
  • Sue is added by the Planner to Chris's invitation group
  • Sue will now appear as BOOKED AND OWING and be included in the Bookings Report
    • The total owing will be $5,500 for their combined booking
  • Sue will show as owing $3,000 until she makes a payment or Chris makes one on her 
    behalf

If they are paying separately then Sue will show as NOT BOOKED. This is because this configuration is typically used for roommates, so they are not really the same booking.

They will still show as the same Booking in the Bookings Report <-- we plan to fix this

👉 No Payment Required 📈

This is a special case, so anyone with a price of $0 does not appear in the Bookings report,  even though they show as BOOKED in the Trip.

👉 For Invitation Groups set to Pay Separately  📈

  • Booking Date will be calculated differently for each member of the Invitation Group.
  • Currently, they will show as the same Booking on the Bookings report. <-- we are considering this might need to change, so we are seeking feedback on this behavior.

📈 USE COUPONS? READ THIS! 💲
Coupons now excluded from Payment Totals 

We used to count Coupons as a payment for the amount paid, but now we are removing them from the totals and the Amount Paid and Pre-Pay Cost.

  • Manage Payments

    • Total Amount Paid no longer includes coupon amounts

    • Pre-pay Cost subtracts coupons

  • Download CSV from Manage Payments

    • Total Amount Paid no longer includes coupon amounts

    • Pre-pay Cost subtracts coupons

  • Print from Manage Payments

    • Total Amount Paid no longer includes coupon amounts

    • Pre-pay Total subtracts coupons 

  • TripBoard

    • Amount Paid no longer includes coupon amounts

    • Total Invoice subtracts coupons

    • Export - One row per invitation group:

🎛️ Copy Templates on Trip Dashboard 📋

I can't believe this wasn't raised earlier! Sorry for any inconvenience the lack of this option has caused.

BEFORE, to copy a trip, you had to make a trip from the template, THEN make a template from that trip.

NOW: Just Copy Template (from the menu under the cog):

👉 New Bookings in Global Bookings Report 📋

We fixed up a couple of edge cases with strange data - how do your Travelers get into such interesting payment situations, like Jane paid for Rick and Hannah, but then Hannah left the group and Joanne joined, then Joanne paid for Jane and Rick, then she canceled!? 😱

But I digress, the point is, we've improved the Global Bookings Report to show "New Bookings" (excludes the canceled ones).

😎 TripBoard shows whether Traveler has a YouLi account.

Do you use the require login for travelers feature? If so, then this will be extra handy. Otherwise it's just interesting to note whether one of your customers has made an account on YouLi.

To find out, click their name from the Trip CRM and view their profile on the TripBoard.

When they have NOT made an account, shows (no account), like this:

When they HAVE made an account, shows the date they last loggedin, like this:

😎 Trip Dates are now being shown in some email templates

Trip Dates are now being included in most automated emails that we send on your behalf.

This will appear under the Trip Name in the email, like the example below:

Trip Dates = TripStartDate - TripEndDate

  • Converted to trip timezone

  • Use personalized dates if set for the Traveler

  • ex: 24 Feb 2024 - 3 Mar 2024

Without set departure dates:

  • This is the "free text" option where you set the When and Duration
  • Trip Dates = When (Duration)

  • ex: June-August (2 weeks)
