White Label App Traveler Handbook

Your trip planner may invite you to use their mobile app to access your Trip Page, receive updates, and contact the planning team while you travel. This guide explains how to download the app, log in, view your Trip, use Chat, and manage Trips you no longer want to see

Download Your Trip Planner’s App

Open your Trip Page

Open the Trip Page link sent by your trip planner.

You can open your Trip Page from an invitation email, confirmation email, or Magic Link shared by your planner.

Find the phone icon

On your Trip Page, find and select the phone icon.

A pop up window will appear with links to the available app stores.

Download the app

Choose the correct app store for your device:

  • Select Download on the App Store if you use an iPhone or iPad.

  • Select Get it on Google Play if you use an Android device.

Complete the installation through the app store, then open the app.

Log In to the App

Register for the Trip first

Before logging in, make sure you have registered for the Trip using your email address.

You must use the same email address in the app that you used to register for the Trip. This allows the app to find your traveler profile and connect you with the correct Trip.

Request a login code

Open the app and enter your registered email address.

Select the option to continue or request a login code. YouLi will send a one-time password, also called an OTP, to your email.

Check your email

Open the OTP email and find your login code.

If you cannot find the email:

  • Check your Spam, Junk, or Promotions folder.

  • Confirm that you entered the correct email address.

  • Wait a few minutes before requesting another code.

  • Search your inbox for an email about your app login code.

Enter the code

Return to the app and enter the code from the email.

Login codes are time-sensitive. If the code has expired, request a new one from the app.

After you log in, your registered Trip or Trips will appear on the Home page.

Open Your Trip in the App - Home Page

The Home page displays your available Trip information and three large Trip buttons near the top of the screen.  

If you register for multiple Trips using the same email address, you can swipe left and right to switch between them.

View the Trip Page

The app will open your Trip Page in its in-app browser.

  • Activities: Itinerary Page

  • To Do's: Tasks Page

  • Invoice: Invoice Page Page

Use the close button to return to the app when you have finished viewing the Trip Page.

View the Itinerary Tab

Open the Calendar to see your Trip dates.

Dots displayed under a date show how many Itinerary Activities are scheduled for that day. Select a date to view its activities.

Open an Itinerary Activity

Select an Itinerary card to see its details.

Depending on the activity, you may see:

  • Date and time.
  • Location.
  • Activity description.
  • Images and other important information.
  • Options that require a response or booking.

Your planner may update these details during the Trip, so check the app regularly.

Share photos from an activity

Open the Itinerary Activity and select the photo icon to upload photos taken during that activity.

Connecting a photo to the activity helps other travelers understand where the photo was taken and lets the group share the moment together.

Photos you upload may be visible to other people on the Trip. Only upload images you are comfortable sharing, and ask for permission before posting identifiable photos of someone else.

Book an Itinerary Add-on

An Add-on is an optional activity or service that is not automatically included in your booking.

Open the Add-on

If an Itinerary Activity is marked as an Add-on, open its card and review the description, price, availability, and any booking conditions.

Select Book Now

Select BOOK NOW to book the activity.

After you confirm the booking, the Add-on will be added to your invoice. Review your updated invoice to check the amount and payment requirements.

Booking may be subject to availability. If you select an Add-on by mistake or need to cancel it, contact your trip planner.


View the Trip Overview

Open the Overview tab to see the main Trip information provided by your planner.

The Overview may include:

  • Trip summary.
  • Important dates and locations.
  • Key Trip information.
  • Information about what is included.
  • Updates from the planning team.

The content shown here depends on your Trip.

Find Your Trip Planner

Open the Staff tab to see the planners and staff members assigned to your Trip.

Use this section to identify your main Trip contact. Depending on the app settings, you may also be able to open a staff profile or start a Support Chat.

See Other Travelers

Open the Guests tab to see other people on the same Trip.

Only travelers your planner has chosen to display will appear here. Some traveler details may remain private.

Use Group Chat if you want to introduce yourself or share
information with the group.

Share and View Memories - Memory Page

Open Memories to view photos shared by people on the Trip.

 

 

 

 

 

 

 

 

 

Upload a memory

Select the upload option and choose a photo from your device.

You can:

  • Attach the photo to a specific Itinerary Activity.
  • Link the photo to the overall Trip without choosing an activity.

Add a caption or other information when the option is available.

Edit your photo

Open a photo you uploaded to update its details or change the activity connected to it.

Interact with shared photos

After a photo is uploaded, other travelers may be able to:

  • View it.
  • Like it.
  • Comment on it.
  • Share it.
  • Download it.

Photos added to Memories may be visible to other people on the Trip. Do not upload private documents, payment information, passport images, or photos you do not have permission to share.

If you want a photo removed and cannot delete it yourself, contact your trip planner.

 

Send a Chat Message to the team - Chat Page

Use Group Chat

Choose Group Chat when your message is relevant to the whole group.

Everyone included in the Group Chat can see your message and may be able to reply. Use it for general questions, group updates, introductions, or information that may help other travelers.

Do not share sensitive personal, passport, medical, or payment information in a Group Chat.

Use News & Updates

Open News & Updates regularly so you do not miss important information from your trip planner.

Updates may include:

  • Schedule or Itinerary changes.
  • Meeting times and locations.
  • Transport information.
  • Reminders and required actions.
  • Important information during the Trip.

Select an update to read the full message. If app notifications are enabled on your device, you may also receive a notification when your planner posts something new.

Use Support Chat

Choose Support Chat when you want a private conversation with a member of the planning team.

Start a one-to-one Chat with an available planner. Other travelers will not see the messages in this conversation.

Use Support Chat for personal questions or information that should not be shared with the whole group.

Hide a Trip From your Trip List

 

If you no longer want a Trip to appear in the app, you can archive it.

  • Select the menu icon to open the app’s side menu.

  • Select Archive Trip, then choose the Trip or Trips you no longer want to see.

  • Confirm your selection to archive them.

Archiving a Trip:

  • Hides the Trip from your active Trip list in the app.
  • Does not stop app notifications for the archived Trip.
  • Does not cancel your booking.
  • Does not remove you from the Trip.
  • Does not delete your traveler information from YouLi.

Contact your trip planner if you want to cancel your booking or be removed from the Trip.

Ask to Have Your Information Removed

Archiving a Trip only hides it in the app. It does not delete the traveler profile connected to the Trip.

Contact your trip planner

Send a private Support Chat message or contact your trip planner using the contact details provided on your Trip Page.

Clearly tell the planner that you want your email address and traveler information removed from the Trip.

For example:

Please remove my traveler profile and email address from this Trip. I understand that this may remove my access to the Trip Page and app.

Confirm what should be removed

Your planner may need to confirm:

  • Which Trip you want to be removed from.
  • The email address used for your registration.
  • Whether you also want to cancel a booking.
  • Whether any records must be retained for payment, legal, or operational reasons.

Once your planner removes your traveler profile from the Trip, you may lose access to its Trip Page, Tasks, Resources, Chat, and app notifications.

If the same email address is registered on another Trip, that Trip may continue to appear in the app. Ask the planner to confirm exactly which Trip records have been removed.
